Privacy Policy
Last updated: 5 October 2026Applies to scout-sport.com and the Scout Sport platform.
This policy explains what personal information Scout Sport collects, why we collect it, how we use and protect it, and the rights you have over it. We take particular care with the data of players under the age of 18. Please read it carefully — by using our platform you confirm you understand how we handle your information.
1. Who We Are
Scout Sport LTD ("Scout Sport", "we", "us", "our") operates an invite-only, evidence-led player-evaluation platform. Verified evaluators assess players across real matches, and verified clubs and scouts can discover players based on that evidence. We are the "data controller" responsible for your personal information under the UK GDPR and the Data Protection Act 2018.
2. Information We Collect
Players / athletes
- Name, date of birth, nationality and location/region
- Playing position, club or team, and sporting history
- Match footage, images and performance evaluations
- Account login details and platform activity
- Contact details (for players under 18, these are the parent's or guardian's details — see Section 6)
Parents & guardians
- Name and contact details
- Proof of relationship to / responsibility for the player where required
- Consent records and account-management activity
Evaluators, clubs & scouts
- Name, region, professional background and credentials
- Profile photo and verified-evaluator ID details
- Evaluations, notes and feedback submitted to the platform
Website visitors
- Technical data such as IP address, browser type and device information
- Information submitted through enquiry or application forms
3. How We Collect It
We collect information directly from you when you apply, are invited, create or manage an account, upload or record footage, submit evaluations, or contact us. We also collect limited technical data automatically when you visit our website.
4. Lawful Bases for Processing
- Operating accounts and delivering the evaluation service — Performance of a contract
- Processing a player's data, footage and images, and all data of players under 18 — Consent (guardian consent for minors)
- Processing payments and subscriptions — Performance of a contract / legal obligation
- Improving and securing the platform, and responding to enquiries — Legitimate interests
- Meeting legal, tax and accounting obligations — Legal obligation
Where we rely on consent, you can withdraw it at any time (see Section 9).
5. How We Use Your Information
- To create and manage player, evaluator and club/scout accounts
- To enable evaluators to assess players and record evidence across real matches
- To make a player's footage and evaluations visible to the verified evaluator network and to verified clubs and scouts — subject to the player's (or guardian's) visibility settings
- To process subscriptions and payments
- To communicate with you about your account and the service
- To keep the platform safe, secure and working as intended
We never sell your personal data, and payment never buys access, ranking or visibility. Evidence is recorded on merit.
6. Children & Players Under 18
Protecting young players is central to how Scout Sport operates. For any player under the age of 18:
- A parent or guardian must provide consent before an account is created, and that parent or guardian controls the account.
- All communication relating to the player goes through the parent, guardian or club — never directly with the child. We do not contact players under 18 directly.
- The parent or guardian can turn off the player's visibility at any time, removing them from discovery by the network, clubs and scouts.
- We minimise identifying information shown for minors and apply the protections of the UK's Age Appropriate Design Code (Children's Code).
- A parent or guardian can withdraw consent, hide, or request deletion of the player's data and footage at any time.
If you believe a player under 18 has an account without the proper guardian consent, contact us immediately at scout.sport@outlook.com and we will act promptly.
7. Footage & Images
Match footage and images are a core part of the evidence we record. They are hosted securely and made available to the verified evaluator network and to verified clubs and scouts in line with the player's (or guardian's) visibility settings. For players under 18, footage is handled under guardian consent and control, and can be hidden or removed at any time. We do not publish or use a minor's name alongside their location in public-facing material.
8. Who We Share It With
We share data only with trusted providers who help us run the platform, and only as far as needed. Each processes data under its own agreement and safeguards.
- Stripe — Secure payment and subscription processing
- Netlify — Website and platform hosting
- Google Drive / VEO — Secure hosting and storage of match footage
- Microsoft Teams — Evaluator network: sharing ideas and feedback among verified evaluators
- Verified evaluators, clubs & scouts — Viewing player evidence within the platform, subject to visibility settings
We may also disclose information where required by law, or to protect the safety of a child or any individual.
9. Your Rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Request erasure of your data ("right to be forgotten")
- Restrict or object to how we process your data
- Request portability of your data
- Withdraw consent at any time, where processing is based on consent
For players under 18, these rights are exercised by the parent or guardian. To make a request, email scout.sport@outlook.com. We will respond within one month.
10. International Transfers
Scout Sport operates across multiple countries, and some of our providers store or process data outside the UK. Where data is transferred internationally, we rely on appropriate safeguards — such as UK adequacy regulations or Standard Contractual Clauses — to ensure your data remains protected to UK standards.
11. Data Retention
We keep personal data only as long as needed for the purposes set out in this policy, or as required by law. Account data and footage are retained while an account is active and deleted or anonymised within a reasonable period after an account is closed or consent is withdrawn, unless we are required to keep certain records (for example, for tax or accounting).
12. Cookies
Our website uses a small number of cookies and similar technologies to make the site work and to understand how it is used. You can control cookies through your browser settings. Where required, we will ask for your consent to non-essential cookies. See our Cookie Notice for details.
13. Security
We use appropriate technical and organisational measures to protect your data, including access controls, secure hosting and encryption in transit. No system is completely secure, but we work to protect your information and to respond quickly to any incident.
14. Changes to This Policy
We may update this policy from time to time. The latest version will always be available on our website, with the "last updated" date shown at the top.
15. Contact & Complaints

If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority: ico.org.uk | 0303 123 1113.
